Cost & total cost of ownership
ERPNext has no per-user licence fee, so the honest answer is that your cost is implementation, hosting, and support — not software. Here is what moves each of those numbers, and the questions to ask before anyone quotes you.
What drives the number
ERPNext itself has no per-user licence fee, so headcount changes hosting and training effort rather than a licence line. This is the single biggest divergence from per-seat ERP, and it grows in your favour as you add users.
Accounting and inventory alone is a far smaller engagement than manufacturing with multi-level BOMs, work orders, MRP, and quality. Scope drives implementation cost more than company size does.
Item masters, customers, suppliers, open transactions, and opening balances all have to be mapped, cleaned, and reconciled. Data quality in the outgoing system is usually the largest single variable in a migration quote.
Shopify, Amazon, a 3PL’s WMS, shipping, tax, or a bank feed each add integration work. Standard connectors are cheap; anything bespoke is scoped on its own.
Most requirements are configuration. Some — a BOM-driven estimation engine, a custom approval workflow — are real development. We separate the two explicitly in a quote so you can see what you are paying for.
Support, upgrades, user training, and continuous improvement are ongoing. Budgeting them from the start is the difference between an ERP that compounds in value and one that stalls.
Line by line
Compare total cost of ownership, not sticker price. These are the lines that differ between ERPNext and a per-seat proprietary ERP — ask any vendor to fill in their own column.
Why there is no price list here
We do not publish price ranges, because a number that fits a ten-person job shop is wrong for a multi-site manufacturer, and quoting either would mislead the other. What we will do is scope your project properly on a free call and give you a real figure — or tell you ERPNext is not the right fit.
